Remote: 10-20 hours / week

This role is for someone with stellar client communication, Marie Kondo-level project management skills, experience in championing design deliverables, a pro-active communication style, and of course, an internal drive to help people!


Direct Report:

  • Creative Operations Manager

What You'll Do:

  • Client Communication.

    • On-Boarding: Responding to project inquiries in a timely manner, support putting together client proposals & sales decks, and quick & efficient client (and team) responses throughout a project. Be the ultimate MVP of getting assets and feedback on time!

    • Off-Boarding: make sure the client has all deliverables as the project comes to a close and that they're happy! 🌻

  • Project management. Create & manage Notion dashboards, Google Drive folders, and forms for clients to fill out. Stay on top of project scope, timeline, and budget.

  • Collaborate with our Studio team and contractors (designers, developers, social, copywriters, photo/video). Communicate with them via Slack/email/Notion. Make sure everyone has what they need to do what they do best whether that's assets, access to files, etc ✨

  • Give our studio workflow a glow up. 💌 We're envisioning Inbox ZERO 🌈, streamlined Notion tasks so everyone knows what's what, and a clear calendar on revenue goals.

  • Bring good vibes, positivity, and enthusiasm to projects. Be the cheerleader for both the Studio team and the client. After all, it's a collaboration 🤝

  • Attend team & client calls:

    • 1x weekly Studio team sync

    • Available as needed for client syncs – schedules can vary according to client availability and time zones.

  • Directly report to our Creative Operations Manager

Requirements:

  • Must LOVE project management and organization. You will know exactly what needs to be done, when, and by whom. You understand how to push but not overwhelm.

  • You tend to be 4 or 5 on the Helpfulness Pyramid.

  • Incredible interpersonal skills: members of the team interface with creatives and clients from all walks of life directly, and should have integrity, empathy, and understanding in working with them.

  • Organizational and file management skills. 📁 We need to be able to jump into whatever project you're working on and be able to find things easily. We use Notion!

  • Comfortable with little direction. ➡️ We want you to take it and go! While in the beginning there will be some training on our workflow, we're looking for someone that is confident and self-motivated, but knows when it’s more efficient to ask for help.

  • You 💖 Feedback. We work iteratively and believe in immediate feedback. You're someone that has a high EQ and implements feedback quickly or will communicate succinctly what is blocking you. Vice versa. We ❤️ feedback and encourage you to suss out any inefficiencies and suggest improvements to our workflow.

  • Must be US-based (sorry!!). Client communcation and meetings typically happen across PST/EST time zones.

Experience with:

  • Project Management with Notion

  • Communicating via Discord

  • Screen recording tools like CloudApp and Loom

  • Working on a variety of projects like branding, web, social media content, packaging, and content production.

Who this isn’t for:

Someone that is used to working somewhere they get a lot of support and structure. Think of us more like a collective of experienced freelancers that get things done. If you’ve never worked on your own, haven’t had experience managing a lot of tasks, and are not sure how to prioritize projects — this probably isn’t for you.
