We are looking for an exceptional Office Manager & Personal Assistant to Hanna Li to become a trusted and indispensable part of the studio.


The Opportunity:

This is a highly varied role for someone who thrives when no two days look exactly alike.

You will support both the operational needs of Hanna Li Interiors and the day-to-day life of its Creative Director, Hanna Li. You will help keep the business organized, make sure details don't fall through the cracks, maintain relationships with clients and vendors, coordinate logistics, manage errands and administrative responsibilities, and generally make Hanna's life easier.

One day you might be organizing a shipment of design samples, selling inventory warehouse items, researching a thoughtful client gift, or coordinating a return. The next day you might take Hanna's car in for service, troubleshoot an office issue, help organize a dinner party, pick up materials for a project, or make sure an important license or subscription doesn't expire.

This is an ideal position for someone who is naturally organized, resourceful, polished, highly responsive, and energized by being the person who keeps everything moving behind the scenes.


Key Responsibilities:

OFFICE & BUSINESS OPERATIONS

  1. Manage day-to-day administrative needs for Hanna Li Interiors.

  2. Maintain organized digital and physical files, records, receipts, documents, and office materials.

  3. Track business subscriptions, memberships, software accounts, licenses, permits, renewals, and expiration dates.

  4. Ensure recurring payments and renewals are handled on time.

  5. Maintain calendars, reminders, task lists, and operational checklists.

  6. Help coordinate office supplies, equipment, shipping materials, and other studio necessities.

  7. Place orders and track deliveries.

  8. Receive, inspect, organize, distribute, and return packages.

  9. Sample and Material management.

  10. Client relationship management including: gift research and coordination, personal thank yous, preparing for client meetings, etc.

  11. Coordinate shipping and receiving with vendors, couriers, showrooms, and project locations.

  12. Help keep the studio organized and functioning efficiently.

  13. Assist with onboarding and supporting employees with administrative needs.

  14. Help coordinate team meetings, lunches, events, celebrations, and other internal activities.

  15. Research and solve miscellaneous operational problems as they arise.


PERSONAL ASSISTANCE FOR HANNA LI

You will also provide direct personal assistance to Hanna, helping manage the practical details of her day-to-day life.

This may include:

  1. Scheduling and coordinating personal appointments.

  2. Running errands throughout Los Angeles.

  3. Picking up and dropping off items.

  4. Managing returns and exchanges.

  5. Coordinating household or personal service providers.

  6. Researching purchases and services.

  7. Ordering personal items.

  8. Helping prepare for travel.

  9. Managing personal packages and deliveries.

  10. Coordinating dinners, celebrations, parties, and gatherings.

  11. Helping with event planning and logistics.

  12. Researching and booking restaurants, venues, activities, or experiences.

  13. Handling last-minute logistical requests.

  14. Anticipating needs and proactively taking tasks off Hanna's plate.


Some requests will be straightforward. Others will require creativity, research, persistence, and good judgment.


Preferred Qualifications

  • A bachelor’s degree in Business, Communications, Design, or similar.

  • Familiarity with Los Angeles.

  • A professional demeanor.

  • An eye for detail and strong research and problem solving skills.

  • Strong communication skills.

  • Excellent organizational and time-management skills.

  • Experience managing subscriptions, licenses, memberships, and renewals.

  • Reliable personal vehicle and ability to drive throughout Los Angeles.

  • Experience coordinating events or private gatherings.

  • Strong knowledge of Google Workspace, Microsoft Office, spreadsheets, and calendar management.

  • Comfortable working in a fast-paced environment where priorities can change quickly.

  • Bonus: Experience working for a creative director, designer, entrepreneur, executive, or high-net-worth individual.

  • Bonus: Experience in interior design, architecture, fashion, art, hospitality, luxury retail, real estate, or a related creative industry.


Location & Driving Requirements:

This is a Los Angeles-based position with a strong preference for candidates who live within a reasonable driving distance of Mount Washington.

Because the role involves frequent errands, pickups, deliveries, appointments, showrooms, vendors, project sites, and personal assistance, reliable access to a personal vehicle is required.

Compensation & Benefits

We are looking for a sharp-witted person who is starting out in their career and ready to take on a role that will provide them with experience in the field of luxury interior design. The hourly rate range will be between 15-30 USD, based on experience .

Location: Mount Washington / Northeast Los Angeles

Employment Type: Part-Time, 20+ Hours

Reports To: Hanna Li, Creative Director
