Lawyer seeks a part-time personal assistant with Japanese fluency, organizational skills, flexible schedule, and interest in art & entertainment.
Requirements:
Fluency in Japanese and English
Proven experience as a Personal Assistant or Executive Assistant, preferably in a law firm setting
Familiarity with Clio, databases, and tracking systems
Familiarity with CLE requirements for the NY and FL Bar Associations
Strong organizational skills and attention to detail
Ability to work independently and prioritize tasks effectively
Excellent written and verbal communication skills
Proficiency in Google Suite and Microsoft OfficeHigh level of discretion and confidentiality
Flexible and adaptable to changing priorities and tasks
Ability to multitask and manage time effectively
Problem-solving and decision-making skills
Responsibilities:
Manage the Partner's schedule, including coordinating meetings and travel arrangements
Prepare documents for meetings
Answer phone calls, collect messages, and communicate with clients and third parties regarding meetings, billing, and deadlines
Monitor invoices and automatic payments for bills, ensuring accuracy of payments
Track deadlines for letters, contracts, and legal documents
Maintain and update databases and tracking systems to ensure accurate and up-to-date records
Handle engagement letters with prospective clients
Maintain the office by purchasing supplies and mailing business letters/parcels
Track CLE requirements for the NY and FL Bar Associations
Manage the Partner's interns and communicate with them regarding details and technical issues
Assist in preparing the Partner for trials and meetings
Provide administrative support
Assist with personal tasks such as dry cleaning, closet management, framing art, managing client gifts, shopping, party planning and servicing, and light cleaning when needed
Collaborate with other team members to ensure smooth operations of the firm
Notes:
This part-time position offers a flexible schedule, but the candidate must be available to work in-person at our New York City on specific days agreed upon in advance
We offer a competitive hourly wage commensurate with experience
This is a hybrid in-person and remote position; the in-person component is non-negotiable
The successful candidate must pass a background check and provide professional references
