This person would be responsible for managing and executing a wide range of tasks and must be super energized by communicating with people and doing all the little things that will help us run around and make WE happen. Having fun and being obsessed with the impact of healthy relationships is also a requirement.


ABOUT THE POSITION:

WE is seeking an admin assistant to help with day-to-day operations at our loft office in DTLA. Our ideal candidate is an emotionally-intelligent go-getter who has previous experience assisting high-level associates, and someone who believes in and supports the mission of WE — to provide creative and experiential programming that develops Relational Mindfulness in communities and companies.

Responsibilities of this rockstar admin include straight-forward daily admin work:

  • Like scheduling and arranging for meetings, responding to email and Slack messages, and sending out a monthly/quarterly newsletter

  • As well as weekly upkeep and organization budget and sales contacts.

  • You’ll also spend time helping plan and execute our monthly Culture Series events and prepping for our workshops, dinners, and more.

  • Most of all, we need you to be present, engaged, and actively participating in our mission. We need someone who is energized by this role and our flexible but intense pace.

Let’s talk numbers: - 20 hours / week (option for 10 hours to be remote)

  • Opportunity to scale up hours to full-time position as we grow - $18 / hour

    • Note: this role can be primarily a remote position, assuming you’re located in DTLA and can make it to our offices on occasion or when needed

A typical month would include:

  • Scheduling and arranging meetings

  • Responding to client emails on behalf of WE

  • Weekly management and organization of receipts

  • Preparing research briefs for client meetings and workshops

  • Tracking corporate client outreach on spreadsheet

  • Posting on WE social media and engaging with followers

  • Monthly budget reports

  • Help prep for WE events, workshops, etc.

  • Booking travel and accommodation for WE team

  • Weekly check-in call with WE team to give progress reports

  • Updating our website with current events

  • Running errands

  • Finding and managing WE Interns

  • Prior background in EA work

  • Highly organized

  • Commitment to excellent service and customer satisfaction

  • Creative thinker and proactive problem solver

  • Relational / warm energy

  • Superior levels of honesty and integrity

  • Comfortable with giving and receiving feedback

  • Outstanding verbal and written communication skills to a variety of audiences

These qualifications are a big plus, but not required:

  • Proficient working on Squarespace sites

  • Proficient in Quickbooks

  • Proficient at Slack and giphy use :)

  • Proficient in Illustrator or InDesign
